datascalehr has a clear focus: it connects HR systems to payroll providers and uses AI to suggest mappings that a payroll specialist then confirms. For teams that move data between HR and payroll systems across many countries, it deserves a serious look.

This comparison focuses on a narrower question: what happens when a customer’s file arrives, in whatever format they chose to send it.

Self-service data imports powered by AI

Integrate a self-service data importer into your system and effortlessly clean and import data from any source and format. Your users will thank you for having their data ready in no time.

Where datascalehr stands

datascalehr is a platform with a guided workflow and an API. Users upload a file or connect through the API. Its customers include multinational enterprises, payroll providers, and the consulting and technology partners who implement it for them.

Its AI predicts mappings and learns from decisions specialists have already confirmed. No mapping goes live until a person approves it. From what datascalehr shares publicly, the focus is on mapping, and they also cover error checks and a reconciliation step.

That’s a clear product for a clear audience. The difference from Ingestro comes down to two key aspects: how each product is delivered and which files it can handle.

One platform, or a platform and an importer

datascalehr can’t be embedded in your own product, so you can’t offer your end customers a migration experience inside your own application. That matters if you serve small and midsize businesses that need to bring in their own data directly, without a payroll consultant in the middle.

Ingestro offers both. Implementation and operations teams, including payroll consultants, run all their workflows on a single platform. When it makes sense for customers to fix their own files, the same logic can also run in an embeddable importer.

Many teams use a single blueprint to roll out importers across their organization, an approach that’s fast, secure, and easy for end customers. Your payroll consultant sets up the mapping rules once, and each customer then gets an importer that applies them.

If your team only needs a solution for its own payroll consultants, this difference may not matter. If you also want customers involved, it matters a lot.

The files your customers send

Customer files are rarely tidy. A payroll export can be a CSV one month and a multi-tab Excel workbook the next. Some customers send XML. Some send a PDF because that’s what their system produces.

Ingestro can parse CSV, Excel, XML, and PDF files, including workbooks with several tabs and files with changing columns. datascalehr’s public pages don’t list the file types it accepts, so it’s worth asking them directly before you decide.

Models trained on your own decisions

datascalehr describes an AI model trained on mapping decisions. That’s a sound approach, and Ingestro works on the same principle.

Ingestro’s industry models were trained on thousands of mapping decisions from industry professionals. On top of that, payroll customers build their own models with Ingestro, combining strong public models with their own payroll consultants’ mapping decisions. The results can closely match a purpose-built payroll model.

What matters isn’t who has AI, but whose decisions it learns from and who owns the result. A model shaped by your payroll consultants tends to work the way they do.

Payroll has no margin for error

A wrong mapping in payroll can quickly become a wrong payslip. That’s why Ingestro follows one core rule: it only shows mappings it can stand behind, and it doesn’t fall back on a weaker guess to fill the screen. The process stays semi-automatic: your payroll consultant confirms each suggested mapping and maps the rest by hand.

datascalehr also keeps a specialist in control, and that’s the right call. Payroll teams should be wary of any tool that promises to remove people from the decision.

Security and support

Ingestro processes data in the browser, so sensitive rows don’t have to reach a server. It can be hosted in the EU or the US, or run in your own environment. The platform is ISO 27001 certified and GDPR compliant by default.

datascalehr’s security page lists certifications held by the hosting platform it runs on, while Ingestro’s ISO 27001 certification covers Ingestro itself.

On the Business tier, you get a shared Slack channel and a solutions architect who knows your setup. When a payroll file breaks on go-live day, that can matter more than any feature list.

Putting both to the test

Work through these questions with your team and each vendor:

  • Which file types will your customers send, and has each vendor demoed them with real files?
  • Do you need a platform only for your payroll consultants, or do you also need a customer-facing importer?
  • Who owns the model that learns from your team’s decisions?

Then send both vendors the messiest file your team received this quarter. We’re happy to go first.
